Claims Administrator / Manager – Qualifications

  • 5+ years Office / Claims Management

Principle Duties and Responsibilities:
• Research and develop new business relationships through cold calls, office visits, and community organizations.

The Restoration Division Manager is responsible for the oversight and management of the Restoration Department. This candidate should be strong in mitigation, water restoration, mold remediation, Contents cleaning and pack outs. Candidate should be able to provide direction and coordination of all department activities; manager of all employees, materials and equipment required to complete the projects and procedures.

Must be experienced in Xactimate. Must be able to Write, Read, and Teach Xactimate, as well as other management software to other employee’s in the Restoration Division. Also, must be able to do “field” scopes, as well as be fluent in how Xactimate works. Additionally, you will need to work with other Managers to review, develop, and implement operational processes and procedures throughout the Company.

We want to be the industry leader in Orange County (and beyond). 5 Star Customer Service is extremely important to this organization. To that end, you need to be “right on” with assisting us in watching the numbers, servicing the insured’s, and keeping our customers “happy”. You are in charge of our Reconstruction Division and the liaison with existing and new staff and our clients…NO small task.

You will need to be able to get up to speed and keep current with our technology, systems, procedures and institute your management and leadership skillsets. Of these, as with all employee’s, we are MOST focused on your Management and Leadership Skill sets.

You will be directly or indirectly responsible for the following:

All systems, processes and procedures as it relates to the Restoration Division from initial phone call to payment being received and confirmation of client satisfaction. (note: You will review our existing systems/processes and streamline where possible.)

  • Run and Manage the Restoration Department
  • Implement quality assurance procedures and ensure that company policies and standards are being followed
  • Monitor and report on progress, budgets & profitability of jobs
  • Manage DEVELOP and GROW the Restoration Division. This will require day to day management as well as forecasting and strategic planning & hiring
  • Grow the Restoration Division through Marketing & Business Development through relationships with adjuster and property managers, etc. on a regular basis and using the BD System for business development items
  • Define tasks, assign staff, and develop schedules
  • Train staff and ensure safety procedures are being followed
  • Respond to restoration calls when needed (this may be after business hours)
  • Being dedicated, responsible, knowledgeable, a leader, and a motivator
  • Maintain a high degree of integrity and loyalty toward the company and brand
  • Lead and/or attend department/company training sessions for existing, as well as new employees (and yourself) to be technically proficient in the Restoration Side of the business, including DASH, our project management software
  • Hiring and training in-house restoration crew and reduce the use of subs (sub should only be used for over flow purposes in the future)
  • Hire/fire and training program(s) for all personnel. (note: this includes hiring and training of quality Subcontractors)
  • Must be able to Write, Read, and Teach Xactimate as well as other management software to other employees. (note: Must be able to do “field” scopes as well as be fluent in how Xactimate works)
  • Write estimates and supplements for build back construction as necessary utilizing Xactimate 28 software.
  • Monitor and report on progress, budgets, and profitability
  • Review documentation of work performed by crews.
  • Manage your Team and jobs.
  • Establish and maintain client, the insurance company, and adjuster relationships – Business Development (sales) is expected by all ServiceFirst Managers.
  • Implement quality assurance procedures and ensure that company policies and standards are being followed.
  • Work with Office Administrator to create and maintain the hiring/training and on-boarding
  • Meeting with and keeping the owner informed and up to date on a weekly or as-needed basis.
  • Ability to be flexible with working hours, and must be available on-call when required
  • Physically must be able to lift (over 50 lbs.), climb, and kneel
  • Must be able to pass a background check, drug screening, and have valid driver’s license; preferred industry licenses: WRT, IICRC, AMRT, ASD, FSRT, etc.

What would you be doing:

  • Oversight of the billing/accounts receivable/collection and cash application process
  • Oversight of the accounts payable process, including cash flow and timing of payments
  • Bank reconciliations
  • Payroll processing/benefit deductions and review of reports generated from outside payroll service, timing of worker compensation payments etc.
  • Input of 500 to 600 transactions per month, detailed general ledger review leading to the production of income statement and balance sheet reporting by division and company roll up
  • Assist with internal review of actual to budget by current month to same month prior year and budget current year to prior year, with ability to research and discuss variances and why
  • Weekly reporting of trends, such as jobs received, jobs started, amount invoiced, deposited, aging for accounts payable and accounts receivable with a cash flow forecast

Drywall Restoration Professional’s Requirements:

  • Minimum 3 years Drywall Experience (experience in water restoration drywall repair a plus)
  • Must have your own truck and tools (compressor & hopper).
  • Other Construction based trades a plus such as trim, paint, tile, flooring, cabinets, plumbing and electrical.
  • Must be legally able to work in the USA
  • Must pass a background check and have clean driving record.

  • Responding quickly to emergencies such as water, fire, and smoke damage.
  • Identifying scope of work, measuring and sketching out all affected areas and employing industry standard restoration techniques.
  • Extracting water from flooded structures using commercial extraction equipment.
  • Performing demolition including removing damaged or wet building materials such as carpet, pad, baseboard, cabinets, drywall, etc.
  • Taking accurate moisture readings and properly setting up commercial drying equipment to minimize drying time.
  • Cleaning and maintaining proprietary equipment as needed.
